Before publishing a LexiCast Episode, you will need to create collaterals. 

This includes: 

  1. Episode Name
  2. Episode Image
  3. Episode Description 
  4. Transcript



1 Episode Name


All Podcast Episodes need a name for the free episodes and the paid CPD episodes.


  1. Create a name for the Free Episode using the format 'LexiCast Shorts: [short name]'
  2. Create a name for the paid podcast, which is a bit longer an catchy. 
    • You can use sources such as chatgpt to help you brainstorm but the final names must be related to the orginal course.
      • Eg. prompt chatgpt with the following: Our podcast, LexiCast, is making an episode on the topic of [insert topic]. Create a list of names for the free podcasts, which are formated 'LexiCast shorts: [short title]. Also create a list of longer names for the paid podcasts which dont include our Podcast name. 


Update the following with these new names: 

  1. Podcast Work Completion Sheet  
  2. Episode Collaterals Doc 
    1. If there isn't already an existing table for this episode, copy and paste a previous table, which should include the following rows: LawCPD name, Free name, Paid name, 



2 Episode Image

  1. Open the Canva project titled 'LexiCast - Episode Images' and duplicate the first slide titled 'TEMPLATE - LexiCast Episode Image'
  2. Rename the slide to 'Episode image - [episode name]'. Recommended to use title of free episode as its shorter.
  3. Choose an image 
    1. in 'Elements' in the left hand sidebar and search for terms that are relevant to the topic. 
      •  Eg. if topic is topic is Social Media and risk management you would search terms such as 'Social media,' 'corporate social media,' 'corporate person on phone.'
    2. Once you have decided on an image, drag it onto the slide. Right click on the image and press 'Set image as background' and it should take up the entire slide.
  4. Once you are happy with the image, download it as a PNG and save it to:
    • \\192.168.1.2\lawcpd-staff\Products\Podcasts\Episode Images
  5. Copy and paste the downloaded image into the Episode Collaterals Doc in the 'Image' row.
  6. Under the image paste the following and update it with appropriate name:
    • NAS FOLDER: \\192.168.1.2\lawcpd-staff\Products\Podcasts\Episode Images
    • NAME: [name of image]
  7. Update the Podcast Work Completion Sheet by linking the Episode Collaterals Doc, to show that it has been completed.



3 Episode Description


1. Open the Notebook LM notebook that you created for the specific course in step 1

2. In the chat bar in the middle of the screen, copy and paste the following prompt, ensuring to replace [competency] with the relevant competency type for this course (eg. Ethics):


Create a description for this podcast episode that is around 70 words. Please mention that it is a premium legal CPD episode and that by listening, users will earn 0.5 CPD points from it in [competency].


3. Then create a second description for the free episode: 


Create a description for this legal CPD podcast episode that is around 70 words. Note that it is a free snippet episode where users can get a taste of the premium episodes. 


4. For both descriptions do the following checks:

  1. doesn't include name of the LawCPD course 
  2. includes correct competency type
  3. doesn't reveal too much info just main topics
  4. isn't too long (should be below 100 words)


5. Copy and paste the descriptions into the Episode Collaterals Doc in the description rows, under the correct episode.

6. Also Update the Podcast Work Completion Sheet by linking the Episode Collaterals Doc in column H 'Episode Description', to show that it has been completed.



4 Transcript 


1. Download Raw Transcript 

  1. Open the Clipchamp app and press 'Create a new video'
  2. Press 'Import Media' and import the audio for the episode (this may need to be downloaded from the google folder). 
  3. Once imported, drag it in to the editing window. If the audio is not detached, right click the video, press audio, and detach
  4. Click on the audio and at the top of the screen should be a little 'cc' button (on the right side of the word 'Size'). Press this button and change language to 'English (Australia)' and then press 'Transcribe media'
  5. After around 20-30 minutes the loading button on the 'cc' should disappear, meaning the transcript is ready for download. To download press 'cc' and 'download captions'. 


2. Clean up Transcript using Gemini [or ChatGPT)

  1. Open Gemini and upload the transcript created in Clipchamp
  2. Give Gemini the following prompt:
    • clean up this podcast transcript by removing any time stamps or numbers. Do not include headings just the raw text with appropriate paragraph breaks. please separate any words that don't have spaces in the transcript.
  3. Once Gemini has finished producing the text, open the episode folder within the sample podcast folder and create a new document titled '[Episode name] [long/short] Transcript'
  4. Paste in the text and fix any underlined errors. If sentences don't make sense, refer back to the original transcript from Clipchamp, press 'Ctrl+F' on your keyboard and search for the sentence to find its time stamp. Then go back to the original audio, go to the timestamp and listen to what was actually said. 
  5. Once all edits are made, download the transcript from the drive and save it to the following NAS folder:

                  -      \\192.168.1.2\lawcpd-staff\Products\Podcasts\Transcripts

       6. copy the link to the transcript and paste it into columns I (Transcript) of the Podcast Work Completion - Content                   Planning Sheet.
